What does an event team need branded?

An event team typically briefs four streams: attendee merchandise (giveaways, delegate packs, gift bags), staff and speaker items (clothing, name gear, speaker gifts), competitive elements (prizes, awards, golf day kit), and the physical stand (banners, gazebos, flags, backdrops). Brandful supplies all four for South African event teams under one brief, with production and delivery planned backwards from the event date.

Four suppliers, one date, and your phone

The traditional event stack is a coordination tax: the giveaway vendor, the clothing printer, the banner house and the gift supplier — four artwork approvals, four production schedules, four delivery windows, all converging on one date with you as the only integration layer. When one slips they all functionally slip, and the week before the event becomes a hostage negotiation conducted from a venue loading dock.

Consolidating the streams does not just save admin. It makes the deadline someone’s accountability instead of everyone’s assumption — one supplier who knew the date from the first email and scheduled every stream backwards from it.

Everything under one brief

Four streams, one artwork set, one schedule. Brief them together and they stop competing for your attention in the last week.

Inside the clothing stream, most teams run branded t-shirts for the floor crew and branded golf shirts for anyone meeting clients, with branded caps carrying the outdoor days and the golf day. Speaker, sponsor and VIP thank-yous come from client gifting, and if the event is one stop on a bigger push, the whole thing plugs into your campaign merchandise calendar.

Grade the giveaway to the conversation

One tier of giveaway is a budget error. Run three and the stand team hands out value in proportion to intent.

Crowd tier

Foot traffic and passers-by

Small, high-volume, genuinely useful items. Handed out freely, useful enough not to become litter by lunchtime.

Conversation tier

After a real chat at the stand

The item a visitor carries out in their hand rather than buries in the conference bag.

Hot-lead tier

The people sales would phone tomorrow

Proper gift sets and executive pieces, given deliberately rather than from a pile on the table.

What each tier costs depends on the items you choose, so we blend the three against your total budget and confirm every line on an itemised quote. The tiers, and the items that suit each one, are set out in full on event & conference merchandise.

Backwards scheduling

The date is the spec

Every other brief has a deadline you can renegotiate. An event has a date, and the date wins. So the plan is built from it in reverse: 3–5 working days for delivery, 3–5 working days of production before that, artwork approval before that, and your own sign-off before that. Whatever does not fit is either rushed on purpose or dropped on purpose — never discovered in the last week.

It also means we tell you what will not make it while there is still time to choose something else. A stream quietly promised and quietly missed is worse than a stream honestly declined, and the branded display stream is usually the one where that conversation needs to happen first.

Built for date-driven work

Why event teams consolidate their streams with Brandful.

Backwards scheduling

The quote starts from your event date and shows what lands when. What cannot make it honestly does not get promised.

One artwork approval

Giveaways, shirts and banners approved as a set, with your CI applied consistently across all of it.

Venue delivery

To your office for pre-packing or straight to the venue, quoted per brief. Nationwide delivery is 3–5 working days, with overnight available at a charge.

Rush reality, disclosed

24-hour rush production exists for the stream that slips — and it skips layout approval, so files print exactly as supplied. We say this up front because event weeks are when it matters.

No minimum orders

A small VIP dinner and a multi-thousand-visitor expo are both normal briefs. Your first branding position is free; additional positions carry a once-off R400 setup fee, itemised on the quote.

How event teams brief us

  1. 1One brief: event type, date, expected attendance, the streams you need, and the budget.
  2. 2Proposed merchandise per stream with an itemised quote in 24 hours, and a delivery plan built backwards from the date.
  3. 3One artwork approval; 3–5 working days production per stream, everything converging on your deadline — tracked by us, not by your phone.

Event team FAQs

What event and experience managers ask us most often.

How far ahead should we brief an event?

+
Count backwards from the date: 3–5 working days production from artwork approval, then 3–5 working days delivery — plus whatever your own sign-off takes. Earlier is always more comfortable, but later is workable with rush options, quoted honestly against the date rather than optimistically.

Can everything arrive at the venue?

+
Yes — venue delivery is quoted per brief, with the event date driving the schedule. Office delivery for pre-packing works too, and plenty of teams split the two. Nationwide delivery is 3–5 working days, with overnight available at a charge.

Can one artwork approval cover giveaways, clothing and banners?

+
Yes — the artwork set is approved once and applied per item, which is where most of the time saving lives. It is also what keeps the stand, the shirts and the giveaways looking like one event instead of three.

What if one stream is late in the plan?

+
That is what rush production is for — 24-hour turnaround, with the honest caveat that rush skips layout approval, so files print exactly as supplied. Send print-ready artwork and it is a reliable safety net; send a rough file and it is not.

What should we budget per attendee?

+
Grade it rather than averaging it: a crowd tier for foot traffic, a conversation tier for people who actually stopped, and hot-lead gifts for the prospects sales would phone tomorrow. We blend the three against your total budget and confirm every line on an itemised quote — the tiers are set out in full on our event merchandise page.

Do you do recurring event calendars?

+
Yes — an annual calendar quotes together rather than event by event, and regional programmes run through a corporate store so each team orders its own stand stock inside budget.
